Stop Repeating Yourself: Building Gemini Gems for SEO Work Efficiency

There is a concept in kitchen work called the "dishwasher task." It’s the work that is necessary, repetitive, unglamorous, and has to be done correctly every single time, or the whole operation grinds to a halt. (And if you are like my husband, there is a specific way it needs to be done, iykyk)

In SEO, we are drowning in dishwasher tasks.

We have to format meta data, clean up messy URL lists, translate technical jargon for developers, and build content briefs that follow the exact same structure every week. And these are just a few examples from this fellow SEO “All-Arounder”; there are many directions this could take no matter what you do in the SEO world. 

For the last year, many of us have used AI to help with this. But if you are honest, you probably feel like you are managing a very forgetful intern. You open a new chat, paste your brand guidelines, remind it not to use the word "delve," and explain the format you need. Then, tomorrow, you have to do it all over again.

That just feels like a different kind of busy work.

Real SEO work efficiency comes from systematizing the process so you never have to repeat your instructions. Enter Gemini Gems.

What are Gemini gems? (and why should you care?)

Think of a standard AI chat as a temporary worker. They are smart, but they know nothing about your company, and they leave at the end of the day.

A Gemini Gem is a specialized version of Gemini that acts like a permanent employee. It remembers who you are, it memorizes your specific SOPs (Standard Operating Procedures), and it has read your brand files.

The difference is context retention and the information it is given – once.

  • Standard Chat: You ask for a blog post outline. Result: You get a generic structure that likely ignores your internal formatting rules.
  • Custom Gem: You ask for a blog post outline. Result: The AI references the "Editorial Guidelines PDF" you uploaded last month, applies your specific tone of voice, and formats the output exactly how your content team prefers it.

This reduces the "Time-to-First-Draft" significantly because you are no longer fighting the tool to get the basics right.

3 gems every SEO should build today

If you want to reclaim your time for high-level strategy, stop prompting from scratch. Here are three "recipes" for Gems you can build in under ten minutes.

1. The "Brand-Perfect" content briefer

Writing briefs is critical, but tedious. If your writers get a bad brief, you get a bad draft.

  • The Setup: Upload your agency or company’s specific Content Brief Template (PDF or Doc) into Gem’s knowledge base.
  • The Instructions: 
    "You are a Senior SEO Strategist. Your goal is to create comprehensive content briefs for our writers. Always use the uploaded 'Brief Template'. Tone: Direct and helpful. Never use the phrase 'In the digital landscape'. Ensure all H2s target secondary keywords."
  • The Efficiency Win: You paste a target keyword, and the Gem outputs a 90% complete brief that matches your exact format. 

2. The technical SEO "translator"

Developers often hate SEO tickets because they are vague. Clients often ignore SEO tickets because they don't understand the ROI. This Gem attempts to solve both.

How to build your first gem (a quick tutorial)

You don’t need to be a prompt engineer to do this.

1. Open Gem Manager: In Gemini, click on "Gems" from the left-hand menu to open up “Gem Manager” and click the blue “+ New Gem” button

a.Note: Basic Gems can be made on the free tier, but you need a paid Gemini Advanced (part of Google One AI Premium or Google Workspace) plan to use the more powerful Gemini 2.5 Pro model for your Gems, especially for features like file uploads and deeper context, making the paid version essential for advanced functionality and better performance. 2. Name It: Be specific (e.g., "{Company/Client} - Blog Editor").

a. Note: You can have fun with the names too (I named mine all after “real names” to the Marvel alter-egos - i.e. Bruce Banner/Hulk smashes through data analysis), but make sure they are easy for you to remember or the time savings of finding the right Gem will lose the efficiency of the task. 

3. The Instructions (System Prompt):

Use the Role, Task, Constraints framework. Tell it who it is, what it does, and—most importantly—what it must never do.

System prompts control model behavior and boundaries, not the chat itself, which is why getting this part right matters more than any individual prompt.

4. Default Tool: This is where you can choose the model of Gemini that you would like to use as default when you use this Gem.

Test this out. More often than not, I typically use “No Default Tool” (e.g., "This prevents Gemini from trying to Google the answer when you want it to stick strictly to your PDF")

5. Knowledge Files (The Secret Sauce): This is where the magic happens. Upload your PDF Brand Guides, Tone of Voice documents, or Process SOPs. The Gem will reference these every time you talk to it.

a. This is the critical piece. Telling the Gem to act as a “Data Analyst” means nothing if you don’t give it any information about how it should act as a Data Analyst and the process it should follow. 

Tips:

  •  I highly recommend testing this out before saying it’s good. Analyze your outputs and tweak the Gem as needed.
    • All of my Gems needed at least 4-5 revisions before I started relying on them to actually perform the real version of the task for me.
  • I revisit the knowledge base/Gem setup on a regular basis to make sure that it is all still relevant and nothing needs to be updated. 

Bonus tip: power up your gems with live data (featuring Enfra)

There is one major limitation to standard Gems: They are often blind to the live web. While Gemini’s native browsing is getting smarter, it often misses the granular, structured data SEOs need (like specific schema markup or exact rank tracking).

A Gem relies on its training data and the files you upload. It doesn't inherently know that a competitor changed their title tags this morning or what the live SERP looks like right now.

To fix this, I recommend pairing your Gems with a tool called Enfra.

Pitfalls to avoid

While Gems are powerful, do your due diligence:

  • Hallucinations: Always verify data points.
  • The Echo Chamber: If your brand guidelines are too rigid, the output can sound robotic or repetitive. You may need to tweak the "temperature" or instructions over time.
  • Maintenance: Guidelines change. If you update your company's tone of voice, you must remember to update the PDF inside the Gem.
    • A good rule of thumb: We only build what we can maintain.

Get started AND… Start with one

Don't try to build twenty agents at once. You will just overwhelm yourself.

Identify the one "dishwasher task" you hate the most—the one you procrastinate on every week. Build a Gem for that single task today. Once you feel the relief of getting that time back, you’ll never go back to standard prompting.
